Switching · Implementation

Four weeks, and you keep seeing patients.

Implementation is not a project you staff. It is four weeks of configuration, data migration and parallel running, with your programs operating normally throughout.

See what it costs

No implementation fee on Solo or Group Practice. Larger migrations with historical data are quoted separately.

What's included

Six things you no longer buy separately.

Implementing Unisona Health takes four weeks: configuration in week one, data migration in week two, role-based training in week three, and parallel running in week four, with your programs operating normally throughout. There is no implementation fee on Solo or Group Practice, and you retire old systems only once you are confident.

Included

Configuration

Programs, levels of care, note types, roles and permissions set up against how you actually operate.

Included

Data migration

Active patients, demographics, insurance, active treatment plans and open claims brought across.

Included

Payer enrollment

EDI enrollment per payer and per billing entity, started on day one because it is the longest pole.

Included

Training

Role-based sessions — clinicians, front desk, billing, leadership — recorded so new hires get the same thing.

Included

Parallel running

Both systems live until your team trusts the new one. You decide when to switch off, not us.

Included

A named person

One implementation contact throughout, not a ticket queue.

The four weeks

Who does what, week by week.

WhenWe doYou do
Week 1
Configure

Programs, levels of care, note types, roles and permissions built with you.

Nominate an owner

Decide who makes configuration calls and give us your payer list.

Week 2
Migrate

Active patients, insurance, treatment plans and open claims imported and reconciled.

Review the import

Spot-check charts against your current system and tell us what looks wrong.

Week 3
Train

Role-based sessions for clinicians, front desk, billing and leadership.

Send people to training

Attendance in week three is the single best predictor of a smooth go-live.

Week 4
Run parallel

Both systems live. New work happens in ours; the old one stays available.

Use it for real

Book, chart and bill in the new system with the old one as a safety net.

After
Switch off

We confirm claims and remittances are flowing before anything is decommissioned.

Give notice

Cancel the systems you are retiring once you are confident, not on a date we set.

Before you commit

Five things to check first.

We would rather you find these now than three weeks into a cutover. Every one of them has delayed somebody's go-live.

Worth confirming before you sign anything

Print this, or bring it to the walkthrough and we will go through it with you.

Decide what history comes across

Active patients always. Whether closed episodes migrate is a cost and effort decision worth making early.

Nominate an internal owner

Implementation goes materially faster with one person on your side who can make configuration decisions.

List your payers

Enrollment timelines vary widely, and the slowest payer sets your go-live date.

Check your current contract dates

Notice periods on your existing systems should be planned around the parallel period, not before it.

Plan the training week

Training lands best in the week before go-live, not a month ahead when nobody has a reason to remember it.

The longest pole is not you

Payer EDI enrollment is the slowest part of every implementation, and it is entirely outside both our control. That is why it starts on day one rather than after configuration is finished.

Bring your current contracts and renewal dates to a walkthrough and we will map the timeline against them.

4weeks to go-live

Questions

Common questions.

How long does it take to switch behavioral health EHRs?

About four weeks with Unisona Health. Week one configures programs, levels of care, note types, roles and permissions; week two migrates and reconciles active patients, insurance, treatment plans and open claims; week three is role-based training; week four runs both systems in parallel. Payer EDI enrollment starts on day one because it is the longest pole.

Is there an implementation fee?

No, not on Solo or Group Practice. Configuration, migration of active records, payer enrollment, role-based training, parallel running and a named implementation contact are all included. Larger migrations that bring historical data across are quoted separately, and the history window you choose is the biggest driver of that quote.

Do we have to stop seeing patients during an EHR switch?

No. Implementation runs alongside normal operations: both systems stay live during the parallel period, new work happens in Unisona Health, and the old system remains available as a safety net. The production data import is timed outside operating hours, and you decide when to switch the old system off.

What does our team need to do during implementation?

Nominate one internal owner who can make configuration decisions, provide your payer list, spot-check imported charts in week two, and send people to training in week three. Training attendance is the single best predictor of a smooth go-live, and a single owner makes implementation materially faster.

Is staff training included in implementation?

Yes. Role-based sessions for clinicians, front desk, billing and leadership are included and recorded, so new hires get the same training later. Training lands best in the week before go-live rather than a month ahead, which is why it sits in week three of the four-week plan.
